We start with your problems, not with AI.
Before we suggest any fix, we measure and quantify each problem with you: how often it happens, how long it takes, and what it costs your business.
Sometimes the right fix is AI. Sometimes it's a simpler change to a process or a system you already own. Either way, you'll see the numbers first.
Two ways to start
Choose whichever suits you. Both lead to the same process, and both are led by people, not software.
Talk to a consultant
We lead the discovery with you. A UCS consultant asks the questions, listens to how your work actually happens, and helps you put numbers on the problems that matter most.
Email us to arrange a conversationPrepare on your own first
Complete a short online assessment in your own time. A consultant then reviews your answers with you, so the first conversation starts from your own information.
Start the online assessmentEither way, a real person from UCS works with you. You can switch between the two at any time.
Six steps, from first chat to measured results
Each step has a clear purpose and a set length, so you know what you're committing your team's time to.
-
Initial conversation
15–20 minutesA short chat about your business and what's prompting you to look at this now. We'll tell you plainly whether we think we can help.
-
Short discovery questionnaire
10–15 minutesA few questions about your team, your systems and the tasks that take up the most time. If you've already done the online assessment, much of this is covered.
-
Diagnostic meeting
60 minutesWe work through:
- your goals
- how work actually happens today
- where the time goes
- what it costs
- what "better" looks like to you.
We don't pitch solutions in this meeting. It's about understanding and measuring the problem.
-
Solution workshop
90–180 minutesWe sit down with the people who own each process and go through real examples, the exceptions and edge cases, the systems involved, and any security or privacy requirements.
-
Solution blueprint and proposal
In writingA written plan covering the scope, the phases, the expected benefits and the acceptance criteria. You sign off the acceptance criteria before any build starts, so we both agree on what "done" means.
-
Build and measure
Against your numbersWe build against the agreed criteria, then measure the results against the numbers we recorded at the start. You see what changed, not what we hoped would change.
What we ask you for
- A real example of each problem, such as a recent job, request or report.
- Rough volumes and time: how often it happens and roughly how long it takes. Estimates are fine to start.
- Who owns the process, so we can talk to the people who do the work.
- Which systems are involved, for example email, spreadsheets, your accounting or job management software.
Templates or de-identified samples are very helpful, but not essential to get started.
How we treat your information
- De-identify first. We ask that personal information is removed or masked before anything is shared with us, and we'll help you do that.
- Private to your engagement. Your documents are kept private to your engagement and deleted on a schedule once it ends.
- Never reused. We never reuse one client's information for another client.
More detail is in our Privacy Policy.
An example of how we quantify a problem
This is an illustrative example only, not a real client. It shows the kind of simple arithmetic we do with you before anything is built.
| Reports produced each month | 40 |
|---|---|
| Time per report | 2 hours |
| Time spent each year (40 × 2 × 12) | about 960 hours |
| If a pilot proves a 50–70% reduction | roughly 480–672 hours released |
That's capacity, not necessarily cash savings. Released hours might go to customers, growth or work that's been waiting. Whether they turn into savings depends on your business.
We measure the result against your original numbers rather than promise it up front.
Start with the problem
Tell us where your team's time goes. We'll help you measure it, then work out together whether it's worth fixing and how.
